Information for Department Coordinators and Preceptor
The Visiting Medical Student Program (VISMED) provides an opportunity for non-Hopkins students to participate in electives with JHU. Below is key information for department contacts and preceptors regarding hosting visiting students through this program.

- Application Process: All students must apply through the Slate portal https://apply2.jhu.edu/apply/?sr=1b9298b7-8e52-4812-865d-e2410e925589
- Application Deadlines:
- Applications must be submitted no less than 6 weeks before the desired start date.
- No more than 6 months before the desired start date.
- Elective Approval: All electives must be approved by the student's home school.
- Eligibility:
- Students must be currently enrolled in medical school and in good standing.
- Students are limited to one elective per term, with a lifetime maximum of two electives.
- Medical graduates are not eligible for the program.
- We do not allow Observerships through VISMED program.

- Final-Year Students Only: Students must be in their final year of medical school.
- Home School Accreditation: Their home school must be LCME or COCA accredited, or have an existing affiliation agreement with our program.
- Note: Many agreements require nomination from the home school due to limits on the number of students who can apply.
- Duration: 4 weeks.
- Malpractice Insurance: Required for all clinical students.
- EPIC Access: EPIC system access is set up for all clinical students.
- Elective Costs: LCME/COCA accredited schools: $500 per elective
Affiliated schools: $5,500 per elective

- Eligibility: Students must have completed at least one year of medical school.
- Duration: 4 to 9 weeks.
- No Patient Contact: Research students must not have any patient contact.
- EPIC Access: Not provided for research students.
- Elective Costs: $500 per elective

Once a student submits a completed application, the VISMED Coordinator will assign it to a reviewer in Slate.
- Clinical Elective Applications: Assigned to the department coordinator and/or course director.
- Research Elective Applications: Assigned to the selected preceptor.
You will receive an auto-email from vismed@jhmi.edu when applications are assigned to your reader queue, or you can access your Reviewer Portal via https://apply2.jhu.edu/portal/vmd_reviewer_portal
Reviewing Applications:
- Applications can remain in your queue for 2 weeks without a decision. After this time, they will be auto-denied.
- When ready to submit your decision, select Review Form/Send to Bin.
- Under the VMD Reader Form, select from the following options:
- Admit
- Admit with Requirements
- Deny
- You may add comments (e.g., date change requests, preceptor changes, fee waivers, etc.), though this is a one-way comment box, and the VISMED Coordinator will not be able to respond.
Once a decision is submitted, the VISMED Coordinator will notify the student with either a denial or admittance letter. If admitted, the student must formally accept the offer in the portal to continue the application and onboarding process.

- 60 Days from Start Date: The student will receive an email from medreg@jhmi.edu with their JHED ID information.
- 45 Days from Start Date: The student will receive onboarding information, including MyLearning trainings, payment details, insurance plan information, and immunization clearance instructions from vismed@jhmi.edu.
- 10 Days from Start Date: The student will receive an email update on their status and requirements.
- 3 Days from Start Date: A second status update will be sent, confirming whether all requirements have been met.
If all requirements are satisfied, the student will be able to obtain an ID badge and may start their elective.

We require the department coordinator or preceptor to provide orientation information directly to the student, including:
- Where and when to report.
- Who to report to.
- Expectations for the elective.

Once the elective is completed, final evaluations will be setup by the Registrar’s office and then the preceptor must submit a final student evaluation via New Innovations. This evaluation is then sent to the student’s home school to confirm the completion of their elective for credit.

- Elective Changes: Please notify the VISMED Coordinator as soon as possible about any elective changes.
- Elective Date Changes: These must be communicated no later than 3 weeks before the start date.
- Health Clearance: All students must be cleared by the Student Health and Well Being (SHWB) team before receiving their ID badge and beginning their elective. Clinical students must also provide malpractice insurance in addition to immunization clearance.
